August 2007 SEC Summary/Update

*Go-Karting Event (July 21, 2007 – Hot Laps, Weare, NH)

This event was a resounding success. We had a total of 48 registrants, 44 adults and 4 children. Another go-karting event will be planned for 2008. Some items of note: more water will be available and a little less coffee. Possible ideas are to have some other types of food, possibly a BYO or sponsored catered event afterwards at next year’s event.

Financial details:

Gross Revenue: $3,440.00

Gross Expenses: ($2,760.00)*

Net Profit: $680.00

*There is a minor sundry expense of less than $150 not noted in this number. This was for various refreshments offered to the participants. The $2,760 constitutes the cost charged by Hot Laps.

*2008 Holiday Party (CR Sparks, Bedford, NH – January 26, 2008)

The SEC is now focusing its attentions to the annual Holiday Party. A contract with CR Sparks has been reviewed by the SEC Chair and a reduced deposit negotiated ($500 verses $1,000). The SEC Chair is in the process of requesting the deposit from the Treasurer. The preliminary and estimated financial aspect of the party is outlined below:

Estimated Expense

CR Sparks $4,000**

Entertainment $2,000

Total Estimated Cost: $6,000

Estimated Revenue

125 seats sold ($25 pp) $3,125

Sponsorships*** unknown

Total Estimated Revenue: $3,125

Net Profit/Loss $2,875

**This is the minimum required excluding tax, tip and bar. Last year we spent close to $4k with fewer people in attendance. Do expect this number to be too much higher.

***Sponsorships: The SEC is working on a sponsorship package for the holiday party. For a given price, a sponsor will receive certain benefits. It is expected that we can raise most if not all of the needed amount to break-even.

Various forms of entertainment are being considered, and most likely will cost less than $2k. Therefore, it will reduce the bottom line regarding expenses and/or providing a bit of overage regarding the restaurant.

The sponsorship package is to be reviewed and discussed at the next SEC meeting in September. (No meeting in August.)

*Exotic Car Show (Anheuser-Busch, Merrimack – August 25, 3007)

There is expected to be some members of the club in attendance. It is free to visit and to have your car exhibited, the fee is $20. We are encouraging everyone to attend and help the Viper Club raise money for the charity.

*Next SEC Meeting – September 26, 3007, The Common Man Restaurant, Concord, 6:30pm.

There will be no meeting in August.
